Job Description in Brief

This position reports directly to the Accounts Payable Supervisor/ Controller and is primarily responsible for:

  1. Perform accounting and manager tasks related to the efficient maintenance and processing of accounts payable transactions
  2. Manage and prepare all invoices on an everyday basis for payment
  3. Daily check request
  4. Enter and upload invoices into system
  5. Track expenses and process expense reports to ensure compliance with company policies
  6. Prepare and process electronic payments
  7. Post transactions into journals, ledgers, and other records
  8. Daily reconcile accounts payable transactions
  9. Monitor accounts to ensure payments are up to date
  10. Research and resolve invoice discrepancies and issues
  11. Maintain vendor files, correspond with vendors and respond to inquiries by email
  12. Monitor all vendor calls and address all issues for accounts payable
  13. Coordinate with various departments and ensure that prices are correct on invoices.
  14. Evaluate all account payable balances and resolve all unpaid invoice issues
  15. Deferred receiver
  16. Evaluate and reconcile all vendor statements and manage all inquiries
  17. Manage and ensure vendor receives 1099 forms and resolve all issues
  18. Produce monthly reports, assist with month end closing
  19. Monthly and quarterly prepare analysis of accounts
  20. Process and upload to system all credit card transactions
  21. Prepare and perform check runs

 

Qualifications

  1. 2+ years of Accounts Payable experience.
  2. High school diploma required, college courses in accounting preferred.
  3. Must have strong work ethic.
  4. Proficient in Excel and Word, 10-key by touch
  5. Ability to type 45-50 wpm.
  6. Possess strong organizational and time management skills.
  7. Thorough knowledge of applicable accounts payable/general ledger systems and procedures, financial chart of accounts and corporate procedures.
  8. Ability to communicate effectively verbally and in writing.
  9. Ability to speak and write English fluently.
  10. Ability to work independently and with a team in a fast-paced and high-volume environment with emphasis on accuracy and timeliness.
  11. Ability to perform mathematical computations such as percentages, fractions, addition, subtraction, multiplication and division quickly and accurately.
